Configuring Flowlens Checklist

❗️ Note: The platform must be configured before importing data, as these configurations serve as the blueprint that guides how drop downs and therefore data entries appear within the system e.g. part categorisation, units of measure etc


✅ 1.Add your organisation details.


Once updated, your organisation details and logo will appear at the top of all PDFs exported from the platform e.g. sales quotations, order confirmations, purchase orders, RFQs, dispatches etc


The activity tab in this page will give you a log of all user activity on the platform.


✅ 2. Reference Number Formatting


This feature allows you to decide how the reference ID of all job cards, orders, quotations, dispatch notes and goods received notes appears in Flowlens.


❓Can I choose which number to start the numbering from?


📝 Reference IDs will begin from 1 and this cannot be amended.


✅ 3. Add your locations


Locations can be added manually or using our import template [insert link].


Start by adding your organisation location e.g. BT1 Warehouse. Within this location you can add stock locations e.g. Shelf A, Bin 1


✅ 4. Connecting to Xero


Use the external connections to create a link with your accountancy package. Flowlens currently only supports Xero.


✅ 5. Add your currencies


Specify your system default currency and the list of currencies that you want to choose from when creating sales, purchase orders, etc.


✅ 6. Set your stock valuation policy


Flowlens allows you to choose from


  • FIFO - first in first out
  • AVCO - average cost
  • LIFO - last in first out


These methods are used to value inventory and determine the cost of goods sold (COGS). They are critical for financial reporting, taxation, and internal management. You can read more about these here.


✅ 7. Add your nominal account codes & tax rates


✅ 8. Add your payment terms


These can be defined for each company using the company's import templates.


✅ 9. Add your default invoice status


This is the initial status that will appear on invoices sent to Xero.


✅ 10. Configure your sales drop downs


✅ 11. Add your part categories


✅ 12. Create a scale for rating your suppliers


✅ 13. Add the high level stages of your job cards


This could include painting, assembly, fabrication, testing etc


✅ 14. List your workflow resources


This could include machines, job roles or workstations etc
